This notice explains how Linnet Technology Ltd (“Linnet Technology”, “we”, “us”) collects, uses, stores and protects the personal information you share with us, and the rights you have under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Who we are

What personal information we collect

Depending on how you interact with us, we may collect:

• Identity and contact details — your name, job title, company, phone number, email address and postal address.
• Enquiry information — the content of any message you send us, the service you are asking about, and any supporting information you provide.
• Service records — if you are an existing customer, records relating to the systems we maintain for you, site visits, quotations, contracts and correspondence.
• Technical information — standard web server logs captured by our hosting provider, including IP address, device and browser type, pages viewed and approximate timestamps. These logs are used to operate the site securely and diagnose problems.
• Website usage data — pages visited, how you arrived at the site, session activity, device and browser type, and approximate location derived from IP address, collected through Google Analytics when you use this website.

We do not knowingly collect personal information from children under 16 through this website.

How we collect your information

We collect information directly from you when you:

• Complete our contact form or email us.
• Telephone our office.
• Work with us on a quotation, project or ongoing contract.
• Browse this website — in which case standard technical information is logged automatically by our hosting provider, and usage data is collected through Google Analytics cookies and similar technologies.

How and why we use your information

We use your information only for the purposes we have collected it for. We do not sell it, and we do not use it for marketing or advertising. Our purposes and the lawful bases we rely on under Article 6(1) of the UK GDPR are:

• Responding to your enquiry — answering the message you send us and providing any information you have asked for. Lawful basis: legitimate interests (running and administering our business and responding to enquiries about our services).
• Delivering our services — providing quotations, carrying out site surveys, performing installations and maintenance, and keeping contractual records. Lawful basis: performance of a contract, or taking steps at your request prior to entering a contract.
• Operating the website — keeping the site available, secure and free from abuse. Lawful basis: legitimate interests (maintaining a secure and functional website).
• Understanding website use — measuring traffic, pages viewed and how visitors navigate the site so we can improve content and usability. We use Google Analytics for this purpose. We do not use this data for advertising or to profile visitors for marketing. Lawful basis: legitimate interests (understanding and improving our website).
• Meeting our legal and regulatory obligations — for example keeping accounting records, meeting health and safety requirements on customer sites, and responding to lawful requests from regulators. Lawful basis: compliance with a legal obligation.

How long we keep your information

We keep personal information for no longer than is necessary for the purpose we collected it for, or for any longer period required by law. In practice this means:

• Enquiries that do not lead to a contract: typically up to 2 years from last contact, after which we delete or anonymise them.
• Customer and contract records: retained for the duration of our relationship with you, and for a reasonable period afterwards to meet our legal, tax, accounting and insurance obligations (usually 6–7 years).
• Server and security logs: retained for short periods by our hosting provider for operational and security purposes.
• Website analytics data: retained according to our Google Analytics configuration, typically between 2 and 14 months for user-level event data. Aggregated reports may be kept longer for internal review.

Who we share your information with

We do not sell, trade or rent your personal information. We only share it where necessary, with:

• Our service providers who help us run our business, for example our website hosting provider (Vercel), Google Analytics (Google Ireland Limited / Google LLC), our email and IT providers, and our job-management platform used to schedule engineering works. These providers act on our instructions under written contracts where applicable and are not permitted to use your information for their own purposes beyond providing the service to us.
• Professional advisers such as accountants, insurers and legal advisers, where needed.
• Authorities and regulators where we are legally required to share information.

International transfers

Some of our service providers (for example global cloud hosting, email providers and Google Analytics) may process information on servers located outside the UK, including in the United States. Where this happens, we rely on safeguards recognised under UK data protection law, such as adequacy decisions or the International Data Transfer Agreement, to ensure your information is protected to an equivalent standard. How we protect your information

Your rights under UK GDPR

You have the following rights in relation to your personal information:

• Right of access — to request a copy of the personal information we hold about you.
• Right to rectification — to ask us to correct information that is inaccurate or incomplete.
• Right to erasure — to ask us to delete your information (the “right to be forgotten”) where there is no ongoing reason for us to hold it.
• Right to restrict processing — to ask us to pause the use of your information in certain circumstances.
• Right to object — to object to us using your information where we rely on legitimate interests.
• Right to data portability — to receive certain information in a structured, commonly used format.
• Rights in relation to automated decision-making — we do not make decisions about you using solely automated means.

To exercise any of these rights, please contact us. We will respond within one month, as required by UK GDPR. Exercising your rights is free of charge in most circumstances.

You have the right to lodge a complaint with the Information Commissioner’s Office (ICO), the UK’s supervisory authority for data protection:
